We are looking for a reliable and organised Administration Support professional to join the SEA team. The ideal candidate will have experience in an administrative or office-based role, be confident using Microsoft Office, and have the ability to manage multiple priorities with strong attention to detail. You will be an excellent communicator, a collaborative team player, and someone who takes pride in maintaining high standards of professionalism and confidentiality. A positive attitude and commitment to representing SEA's values are essential. Experience in a care or regulated environment, or knowledge of GDPR and HR processes, would be a welcome bonus.

SUMMARY OF POST:

· To ensure that the business support services are supported in their function.

· To work with and assist the Head of Business support.

· To oversee the smooth running of head office.

· To develop new systems in conjunction with the directors which improve the efficiency of the office admin systems.

MAIN DUTIES:

· To oversee the smooth and efficient running of head office and ensure that all queries from clients, family members, professionals and staff are responded to effectively and efficiently.

· Train and mentor new staff within the Business Support Team.

· To always maintain the health and safety of head office environment.

· To oversee head office systems to ensure that GDPR is always adhered to.

· To ensure that the organisation maximises the use of software by ensuring that they are used effectively.

· To provide management and statistical information to assist the continual improvement of services.

· Gather information and create Operational board packs using data from business support team and operational services.

· To offer day to day support to the office admin team and prioritise workload as appropriate.

· To ensure that the office is always adequately staffed by monitoring the business support rota.

· To direct the business support team and ensure tasks are completed to a timely manner.

· Support and mentor apprentices within the business support team

· To oversee the office hours duty function to ensure that the service is responsive at all times.

· Oversee Rradar queries.

· To assist with the company marketing and social media where necessary.

· Approve marketing materials and newsletters ready for print.

· To set up filing systems that ensure the smooth running of the service and information is easily accessible to those that need to access it.

· To monitor purchases of stationary, PPE and other items to Head office and the properties.

· Control the tracker for company cars to ensure MOT, Service etc are completed on time

· Monitor the Landlord duties, ie setting up and controlling utility bills

· Book interpreters and meeting rooms where necessary.

· Create, print and send out agendas and meeting minutes.

· Complete the monthly Capacity tracker to stay compliant with CQC

· Monitor and control the company emails portal

· Monitor and oversee the CCTV and Ring doorbells on Head office and SEA Properties.
